Your responsibilities

  • Contract management of events (contract application and monitoring, billing, correspondence, documentation and storage)
  • Cost monitoring of events (budget / budget for travel grants)
  • Creation of purchase orders (PO) for procedures in IPROC / Oracle and accruals
  • Creation of event documents and monitoring of participants for larger events
  • Internal and external communication with employees, university hospitals, hotels, agencies, and contractors
  • Ad-hoc queries and clarifications

Your qualifications

  • Strong interpersonal skills, be a team player and be willing to work in an environment where individual initiative and accountability to the team are required
  • Effective communicator: interpersonal and writing skills, motivation, flexibility and diplomacy
  • Ability to handle multiple tasks and to prioritize
  • Strong organizational skills
  • Preferred but not mandated: experience in event management, experience in medical environment 
  • Extensive Word, PowerPoint and Excel skills, preferred: data base skills
  • Ability to manage complex communication and to establish lasting working relationships with internal and external partners
  • Excellent interpersonal skills . Can work within a team and also independently 
  • Fluent in English and German and able to work in an international environment
  • Strong identification with firm values
