Your tasks

  • Plays a crucial role in setting up proper office infrastructure and maintains it according to business needs (e.g. management of calendar, Commercial Operations server etc)
  • Manages the expense budget
  • Supports the Associate Director Key Account in all aspects of administration and organisation
  • Serves as primary contact for the department and coordinates ongoing processes for the team
  • Coordinates functional processes such as invoicing and payments; ensures timely payment (coding, approval, forwarding of invoices) of expenses
  • Manages the administrative aspects of relationships with outside vendors
  • Participates in and supports department project teams
  • Ensures timely coordination of department members' administrative needs
  • Coordinates meetings and events; arranges travel, meeting arrangements, visitor accommodation
  • Organises meeting rooms, including logistics, catering and equipment needs
  • Prepares agendas, takes and completes committee meeting minutes; coordinates distribution and follows up on action items
  • Independently responds to routine correspondence, determines best approach and presentation when preparing and formatting
  • Support in planning, initiating, conducting and closely monitoring different types of cross-brand marketing & sales excellence projects
  • May provide training, guidance and orientation to new team members

Prerequisites

  • High School Diploma
  • More than 3 years of related industry experience in an administrative support role
  • Proven experience in coordinating complex projects, i.e. project management skills
  • Advanced experience in using MS Office tools and database management
  • Experience in the pharmaceutical industry and/or in the field of marketing & sales
  • Bachelor degree, business administration or science
